South Asian weddings in Canada are some of the most joyful celebrations in the country, and some of the most involved to plan. Indian, Pakistani, Bangladeshi, Sri Lankan, Nepali and Sikh traditions are all different, and every family does things its own way. What they often share is that the wedding is not one day but a series of events, with a guest list that can easily pass 300.
This guide walks through the usual events, a planning timeline that works in Canada, and what to ask the venues and vendors you are considering. Use what fits your family and leave the rest.
Map out your events first

Before you book anything, sit down with both families and agree on which events you are having, roughly how many guests each one will host, and who is paying for what. Common events include:
- ✦Mehndi: an evening of henna, music and food, often for close family and friends.
- ✦Haldi or maiyan: turmeric paste applied by family members, usually at home or in a backyard.
- ✦Sangeet or dholki: music, dancing and performances by family and friends.
- ✦The ceremony: a Hindu ceremony around the sacred fire, a Sikh Anand Karaj at a gurdwara, a Muslim nikah, a Buddhist or Christian ceremony, or a blend.
- ✦The reception or walima: the big dinner, speeches and dance floor.
Knowing the list and the head count for each event is what lets you compare venues and vendor quotes fairly.
A planning timeline that works in Canada

Large banquet halls in the Greater Toronto Area, Metro Vancouver and Calgary are booked well ahead for summer Saturdays, so start early.
- ✦12 to 18 months out: set the budget, the event list and the dates. Book the main venue and, if needed, the gurdwara, temple or mosque.
- ✦9 to 12 months out: book the caterer (if your venue allows outside catering), decorator, photographer and videographer, and the DJ.
- ✦6 to 9 months out: book hair and makeup, the mehndi artist, dhol players and any performers. Order outfits, which can take months to arrive and be altered.
- ✦3 months out: send invitations, plan the menus and confirm every vendor's timing for each event.
Fridays, Sundays and weekdays are often easier to book and more affordable, which helps when you have several events in one week.
Choosing venues
Ask every venue the questions that matter for your events:
- ✦Can they seat your full guest list for dinner, with room for a stage and a dance floor?
- ✦Do they allow outside caterers, and is there a kitchen fee? Many South Asian families have a caterer they trust.
- ✦Do they allow open flames for a fire ceremony, and is there a fee for the fire marshal?
- ✦What time must music end, and can a baraat or dhol procession arrive outside?
- ✦Is there parking for a large crowd?
Vendors who know your traditions

Look for vendors who have done your kind of wedding before. A photographer who knows when the important moments happen in a Hindu or Sikh ceremony will not miss them. A makeup artist who works with your skin tone and heavy bridal jewellery will plan time for it. A decorator who has built a mandap or a stage knows the setup times.
On OpenDates, businesses can tick the traditions they know well, so you can browse South Asian wedding businesses and Sikh and Punjabi wedding businesses across Canada and ask them about your dates.
Keep a budget per event
With several events, costs add up quietly. Give each event its own budget line for venue, food, decor, outfits, photography and entertainment, and decide early which event gets the biggest share. A free planner like OpenDates Ever After lets you keep one budget and one guest list for everything.
Frequently asked questions
How long does a South Asian wedding last?
It depends on the family. Many Canadian couples have three to five events over a week or two, and some keep it to a ceremony and reception on one weekend.
Can we have a fire ceremony at a hotel or banquet hall?
Often yes, with permission. Ask the venue early about open flames, smoke detectors and any fire watch fees.
How far ahead should we book a mehndi artist?
For a summer weekend, six to nine months ahead is wise, especially if you want a well-known artist for the main design.
